1. Awareness and understanding of mentoring essentials
Mentors and mentees should familiarise themselves with the characteristics
of an effective mentoring relationship. The following list provides some guidance:
- listening with empathy, being objective and non-judgemental
- sharing experiences and learning from both successes and failures
- developing a professional relationship by being honest and respectful
- observing confidentiality and professional standards of behaviour and safety
- fulfilling commitments or provide adequate notice of changes.
Some Do's and Don’ts of Being a Mentor
Do's
- Challenge, motivate, inspire and encourage
- Be patient and build trust
- Offer alternative perspectives
- Encourage self-directed reflection, analysis and problem solving
Don’ts
- Simply provide solutions
- Assume responsibility for the student’s career development
- Tutor or offer personal counselling
- Neglect agreed commitments without explanation
Some Dos and Don’ts of Being a Mentee
Do’s
- Be proactive
- Question and reflect
- Communicate openly
- Be open-minded to opportunities, new experiences and different ideas
- Accept feedback and learn from it
Don’ts
- Have unrealistic expectations (e.g. such as work experience, job offer, etc.)
- Neglect agreed commitments without explanation
2. Code of Practice
Participants in the mentoring program must adhere to the following code of practice:
- Confidentiality is to be observed at all times, including all personal contact
details.
- Professional standards of behaviour and safety are to be maintained at all times.
- Mentors and mentees are to treat each other with courtesy and respect and to be
non-judgemental
- Fulfilment of all agreed commitments
3. Confidential Information
A mentor and mentee will maintain confidentiality of all matters
discussed in a mentoring situation. The mentor will not keep records of assistance given
without the mentee’s express permission. Neither mentor nor mentee or representatives
of Macquarie University shall disclose to any person, the whole or any part of the confidential
information, nor use any part of the confidential information for their purposes, or
for the benefit of any third party, without the written prior consent of the party disclosing
the confidential information.
Each party shall be entitled to disclose any confidential information
received to the extent only it is required to be done to comply with statutory or legal
obligations, provided that party first gives notice in writing to the other party and
complies with any reasonable direction of the other party.
This clause shall survive the termination of a mentoring relationship.
4. Policies and procedures
Mentoring Matching/Guidelines
The matching of a mentor and a mentee will be through a confidential
process based on information provided on the registration documents only. The mentor
and mentee must have read the mentoring guidelines before they register.
Privacy and Intellectual Property
All contact details will be kept confidential to the Alumni
Office, except those between the identified mentor/mentee pairs, or unless prior agreement
is received. A mentor and mentee will agree to have no rights to the intellectual
property of the other.
Mentoring Relationship
Anyone who experiences any uncertainty or discomfort with the
mentoring relationship should contact the Alumni Office immediately. The mentor shall
not have any pecuniary or non-pecuniary interest in the mentee’s business and vice
versa. Any conflict of interest should be declared. The mentor is not entitled to
payment by the mentee or by Macquarie University.
Occupational Health and Safety
Mentors should be aware of all relevant occupational health
and safety issues relating to a mentee’s visit to a workplace should such visits take
place. This may require the mentee to be inducted into the occupational health and
safety orientation process of the work environment.
5. Release
The mentee waives all rights and entitlements to any claims, actions, suits, legal
proceedings, demands, costs, losses and damages and expenses against the mentor and
Macquarie University, now and at any future time, that are in any way related to any
act or omission of the mentor and/or Macquarie University to the mentee done in good
faith under the program.
